RETREAT BOOKING TERMS

I, the trip participant agree to the following Terms & Conditions created & enforced by Jill-Arena, LLC

Jill-Arena, LLC lists what is included on the trip’s page. Airfare, certain optional excursions and experiences, certain meals, travel health insurance and trip insurance are not included.

RESERVATION

To reserve your place on one of our trips you must submit an early bird $300 before October 1, 2026 or $800 beginning October 1, 2026 non refundable deposit through our online booking system. This $300 deposit secures your spot on the trip and goes towards the final balance of the trip cost.

PAYMENTS

All prices are per/person USD.

CREDIT CARD AUTHORIZATION & AUTOMATIC COLLECTION OF FINAL PAYMENT

Upon registration, you will be asked to share your Credit Card information. Unless specified that you prefer an installment plan, the remaining balance of the trip cost, listed upon registration, will be charged automatically, in full on March 1, 2027. You will receive a receipt of confirmation once the payment has been submitted. Failure to communicate trip cancellation prior to the March 1, 2027 deadline, will result in an automatic charge of the remaining balance in full without a refund.

INSTALLMENT PLANS:

We offer installment plans only upon request.

All payments are due by March 1, 2027.
If your payment is declined during the automatic payment process and we do not hear from you within 7 days to update/change/cancel your credit card information, Jill-Arena LLC reserves the right to forfeit your spot on the trip.

Your credit card will be charged automatically on specific dates using our online booking system.

CANCELLATION POLICY & DEPOSITS:

All payments made toward the retreat, including deposits and installment payments, are non-refundable.

If you choose to cancel your participation at any time after booking, all payments received by Jill-Arena, LLC, including your deposit and any installment payments, will be forfeited.

If you register within three (3) months of the retreat start date and cancel within thirty (30) days of the retreat start date, you remain financially responsible for the full retreat balance, regardless of your attendance. No refunds or credits will be issued.

If your remaining balance is not paid by the due date and you do not communicate with Jill-Arena, LLC regarding your reservation, any unpaid balance owed under this Agreement may be recovered by Jill-Arena, LLC as a debt due and payable.

By signing up for this retreat, you acknowledge and agree to these terms. Travel insurance is required to protect your investment in case of unforeseen circumstances.

TRIP CHANGES

Jill-Arena, LLC reserves the right to make any changes deemed necessary by our team, trip leaders, or partners. In the event that we need to make a last minute change to the venue, vendors, trip leader, the itinerary, or any aspect of the trip due to unforeseen circumstances (natural disaster, illness, civil unrest, death, closure or any other unforeseen circumstance) we will offer the following to our guests that do not want to attend based on changes:

Transfer trip participant deposit and any payments that have been made to a future retreat within 1 year from the date of the current trip unless otherwise stated.
If trip participants elect to cancel any trip based on the changes, all normal cancellation policies apply (see above). Jill-Arena, LLC is not responsible for reimbursing or refunding any amount paid if the trip participant decides to cancel based on these changes.

Please note that trip insurance is required so that you can make a claim based on the changes/cancellations and have some of your expenses reimbursed by the travel insurance company.

CANCELLATIONS

Jill-Arena, LLC guarantees that all scheduled trip departures booked and secured with a valid deposit will depart as indicated on the applicable confirmation, subject to reasonable itinerary changes as described in these Terms or good faith health and safety concerns. This guarantee is not applicable in the case of Force Majeure (natural disasters including global pandemic, weather conditions, or any forces out of Jill-Arena, LLC's control)

If a trip is cancelled by Jill-Arena, LLC before the date of departure for reasons other than Force Majeure and the cancellation is not caused by your fault or negligence, you will have the choice to transfer credit to another trip, to be used within 1 year in the amount of your paid funds to Jill-Arena, LLC. Jill-Arena, LLC is not responsible for any expenses or damages incurred as a result of trip cancellation including preparation costs, airline tickets, travel documents or other expenses.

In the case of Force Majeure, including and not limited to all forces out of Jill-Arena, LLC reasonable control such as, natural disasters, global pandemics, death, illness, etc; all payments made to Jill-Arena LLC will be forfeited. Jill-Arena, LLC is not responsible for any expenses or damages incurred as a result of trip cancellation due to Force Majeure.

Jill-Arena, LLC reserves the right to cancel any trip prior to departure in the event that there are too few people booked in which case you will be given the opportunity to use the payments made towards 1:1 bookings with Jill-Arena, LLC. You will not be entitled to claim any additional amounts or seek any compensation for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience which may result from such cancellation (including but not limited to visa, passport and vaccination charges, or departure, gear purchases, airport and airline taxes).

INSURANCE & DOCUMENTS

Trip Participants are required to purchase travel insurance prior to the scheduled trip start date.

Each participant is solely responsible for obtaining and maintaining a valid passport with sufficient validity for entry into Costa Rica, as well as complying with all immigration, customs, health, and entry requirements established by Costa Rican authorities and any countries transited during travel.

Jill-Arena, LLC is not responsible for denied boarding, refused entry, missed flights, passport expiration, visa issues, customs delays, or any expenses incurred as a result of incomplete or invalid travel documentation.

ACKNOWLEDGEMENT OF RISKS

Travel Advisory:

This retreat takes place in Jacó, Costa Rica, where participants may encounter tropical weather, heavy rain, uneven terrain, wildlife, unfamiliar road conditions, and varying infrastructure. Participants acknowledge that international travel presents additional risks, including transportation delays, weather-related interruptions, language barriers, differences in medical care, and unfamiliar environmental conditions.

Participants acknowledge that medical facilities, emergency response times, and healthcare standards may differ from those in their home country. Transportation to hospitals or medical facilities may be delayed due to weather, traffic, geography, or local conditions. Participants assume all responsibility for medical expenses incurred during the retreat.

Ocean, Pool & Water Activity Safety:

Participants acknowledge that Jacó Beach and other nearby beaches are located on the Pacific Ocean, where ocean conditions may include strong currents, rip currents, large waves, changing tides, and unpredictable surf. Swimming, surfing, paddleboarding, snorkeling, boating, use of swimming pools, hot tubs, and any water-related activity are undertaken entirely at the participant's own risk.

Jill-Arena, LLC does not supervise water activities, does not provide certified lifeguards, and assumes no responsibility for accidents, injuries, drowning, illness, or death resulting from participation in any water-related activity, whether organized or undertaken independently.

Participants agree to assess their own swimming ability, physical condition, and comfort level before entering any body of water and accept full responsibility for their personal safety.

Personal Responsibility & Safety:

Participants are responsible for their own personal safety and well-being throughout the retreat, including while traveling independently, participating in optional excursions, visiting local businesses, exploring the surrounding area, or engaging in activities outside the scheduled retreat itinerary.

Jill-Arena, LLC is not responsible for theft, loss of personal belongings, personal injury, illness, criminal acts by third parties, transportation incidents, or any circumstances occurring outside the direct control of Jill-Arena, LLC.

Food, Beverages & Dietary Responsibility:

Participants acknowledge that consuming food and beverages while traveling internationally carries inherent risks, including but not limited to food allergies, food intolerances, foodborne illness, contamination, unfamiliar ingredients, water quality, and individual digestive reactions.

Jill-Arena, LLC, its owners, employees, contractors, and partners are not responsible or liable for any illness, allergic reaction, foodborne illness, digestive upset, injury, medical condition, or other damages arising from the consumption of food or beverages during the retreat.

Tropical Environment:

Environmental risks may include extreme heat, humidity, tropical storms, heavy rainfall, slippery surfaces, uneven walkways, insects, mosquitoes, spiders, snakes, marine life, wildlife, dehydration, heat exhaustion, heat stroke, sun exposure, allergic reactions, food sensitivities, infectious illnesses, and other naturally occurring environmental hazards common to Costa Rica.

Wildlife & Environmental Hazards:

Participants acknowledge that Costa Rica is home to a wide variety of wildlife, including but not limited to monkeys, sloths, reptiles, insects, spiders, snakes, birds, marine life, and other wild animals. While observing wildlife can be a unique part of the retreat experience, participants understand that wild animals are unpredictable and may bite, scratch, sting, or otherwise cause injury or illness.

Participants agree to exercise caution, maintain a safe distance from all wildlife, and refrain from feeding, touching, provoking, attempting to handle, or otherwise interfering with any wild animal, regardless of how friendly or approachable it may appear.

Any interaction with wildlife is undertaken entirely at the participant's own risk. Jill-Arena, LLC, its owners, employees, contractors, guides, and partners assume no responsibility or liability for any injury, illness, allergic reaction, infection, disease, bite, sting, scratch, property damage, or other loss resulting from encounters with wildlife or a participant's failure to follow local laws, posted warnings, or safety guidance.

Each participant is solely responsible for traveling safely to and from the retreat location and for exercising sound judgment throughout the duration of the retreat.

Acknowledgment of Risks – Assumption of Responsibility

Although Jill-Arena, LLC has taken reasonable steps to ensure safety, I acknowledge that this activity has risks, including certain risks which cannot be eliminated without destroying the unique character of this activity. The same elements that contribute to the unique character of this activity can cause loss or damage to the Participant including accidental injury, illness or in extreme cases, permanent trauma, disability or death and also can cause damage to or loss of property. The following describes some, but not all, of those risks:

Activities and experiences during this trip may involve emotional, psychological, or mental health challenges. These may include, but are not limited to: group discussions or workshops that explore personal topics; reflective or meditative practices such as journaling, mindfulness, or guided visualization; physical exertion that may cause emotional discomfort; extended periods of solitude or silence; interpersonal dynamics within group settings; and responses to unfamiliar environments, cultural contexts, or personal limitations. Participants acknowledge that such activities may trigger past trauma, anxiety, or emotional distress, and assume responsibility for their own mental and emotional well-being during the trip.

Activities vary from trip to trip and may include but are not limited to: yoga, hiking, backpacking and climbing in a wide variety of environments including on rock, extreme heat, tropical environments; bicycling on trails and roads with a wide range of surface conditions and traffic volume; rock climbing, climbing on climbing apparatus and ropes courses, using zip-wires and rope swings; white-water rafting, river kayaking, sea-kayaking and canoeing; swimming, snorkeling and surfing; fishing.

Jill-Arena, LLC trips can involve travel to remote places, oftentimes many hours from medical facilities. Transportation, evacuations and medical care can be significantly delayed; communication can be delayed, limited or not available.

Environmental risks and hazards include rapidly moving, deep or cold water; insects, snakes and predators, including large animals; falling and rolling rock; lightning, flash floods and unpredictable forces of nature, including weather which may change to extreme conditions without warning. Possible injuries and illnesses include hypothermia, frostbite, high altitude illnesses, sunburn, heatstroke, dehydration and other mild or serious conditions.

Throughout the trip, participants are responsible for their own safety.

I (the trip participant) acknowledge and understand that Jill-Arena, LLC trips include risks of injury or death to participants. I understand the description above of these risks is not complete and that other unknown or unanticipated risks may result in property loss, injury or death. I agree to assume responsibility for the inherent risks identified herein and those inherent risks not specifically identified. I acknowledge that participation in this activity is purely voluntary, no one is forcing participation and participation is elected with full knowledge of the inherent risks.

I (the trip participant) assume and accept full responsibility for any injury, death, loss of personal property, and expenses suffered as a result of those inherent risks and dangers identified above, and those inherent risks and dangers not specifically identified and as a result of my negligence in participating in this activity.

WAIVER

Release and Waiver of Liability

DECLARATION OF HEALTH

By accepting this Tour Participant Agreement I (the trip participant) represent that I have no physical conditions or medical precautions which would adversely affect my ability to take part in the yoga program or other physical or cultural activities offered on Jill-Arena, LLC trips. I fully understand that my participation in the yoga program or other activities could be injurious to my health and I voluntarily assume all risks related to such activities.

PERSONAL RELEASE.

By agreeing to the terms outlined here and elsewhere on the Jill-Arena, LLC website I hereby release and discharge my rights and claims for damages or liabilities that may occur as a result of participation on a Jill-Arena, LLC trip, including but not limited to damages as a result of unexpected occurrences including those from weather, local political situations, wildlife or uncontrollable acts of God, including the risk of death. I release Jill-Arena, LLC including its owners, directors, employees, guides, vendors and partners from liability for personal injury, illness, emotional damage, incurred travel expenses or property damage I may incur as a result of participation on this trip.

For the benefit of everyone on your trip, Jill-Arena, LLC reserves the right to accept or reject any participant at any time without liability, and in the event it determines, in its sole and exclusive discretion, that a participant is disruptive to the harmony of the trip, it may without any obligation to pay a refund or any other amount whatsoever, expel such participant from the trip. Jill-Arena, LLC will carry no responsibility or liability for any participant who leaves the trip prior to its conclusion or for any activity undertaken by any participant which is not included on the trip itinerary.

PHOTOGRAPHY AND IMAGES RELEASE

You acknowledge that on your trip there may be a photographer or videographer (collectively, “Photographer”) engaged by Jill-Arena, LLC. The Photographer will own the rights to the images, photos, and videos that he or she takes or creates during Your trip (“Content”). You acknowledge that because the Photographer will own the rights to all Content, You cannot sell any Content or otherwise use it commercially. You can use Content for personal use only. If You display Content in a public form, including but not limited to a website, You must credit the Photographer by including his or her name and a notation that the Content is owned and copyrighted by the Photographer.

You hereby grant Jill-Arena, LLC and its agents, suppliers, vendors, and similar third-parties, including Photographers, a worldwide, royalty-free, perpetual license to use, re-use, distribute, display, create derivative works of, and reproduce any images, photos, or videos that You provide to Jill-Arena LLC (whether directly or through a photo sharing service) (collectively, “Your Images”) in any medium, including but not limited to print, electronic media, or Internet, free of charge and without Your right to inspection, for any purpose, including to promote and publicize Jill-Arena LLC's travel products and services worldwide.

You also acknowledge and agree that Jill-Arena LLC or other parties, including but not limited to the Photographer and other participants in Your Trip, may during Your Trip take or create images, photos, and videos in any format that contain or feature You. These images may contain Your name, likeness, identity, photographic image, videographic image or oral or recorded statements. You agree that Jill-Arena LLC may use these materials for any purpose, including to promote and publicize Jill-Arena, LLC 's travel products and services, and hereby grant Jill-Arena, LLC's a perpetual, royalty-free, worldwide, irrevocable license to use such images without Your prior inspection.
